STB Approvers Guide

If you are working with SafeTripBuilder as a standalone application or separate to your excursion workflow, then you can consider the following process:

NOTE: There is currently no approval workflow within SafeTripBuilder.

  • The teacher will create the risk assessment and work through and complete all of the necessary steps. They will be the author of the risk assessment and be responsible for implementing all of the controls.
  • After clicking ‘Save and Continue’ at the first step, a draft is automatically created that the teacher can come back to
    • i.e. They just need to enter in an excursion name and select an excursion type and click ‘Save and Continue.’
  • They can navigate away by clicking Home or closing their browser tab. They would then find the draft SafeTripBuilder excursion within the excursion listing page (by clicking Home).
  • After re-opening the excursion, they may continue to complete the information at different times. After all of the controls have been ticked, they can acknowledge the last step and click ‘Save’.
  • By clicking Save, this changes the SafeTripBuilder excursion status to Submitted.
  • The teacher should then copy the excursion URL and email THE URL to the Approver for approval. This is a user with a special Approval role.
  • The approver should then open the excursion and follow the Risk Assessment Approval process as outlined below.
  • Once reviewed and if/when happy, they can click the Approve button.
  • This will then lock the Risk Assessment and prevent any further changes.
  • If they are not happy, they can send it back to the teacher to make changes. If changes are made, the Acknowledgement tick will be removed and the original Teacher will need to re-review and re-acknowledge by ticking the acknowledgement.
  • They will then need to email the URL back to the Approver for further review.

Risk Assessments Approval

  • Once excursion Risk Assessments in SafeTripBuilder have been submitted for review and approval, the Approver should review the following:
    1. The overall risk assessment PDF
      1. Is the Overall Risk Rating green or orange? – Green means all controls have been completed
      2. In the checklist section, what comments have been entered?
    2. Working through the risk assessment with SafeTripBuilder
      1. Confirm the Excursion Type – (Day with no Overnight consideration)
      2. High-Risk Medical
        • Complete Checklist
          • Green tick - Has all of the checklists been completed?
          • Green comment icon – what comments have been entered against a checklist item?
        • Confirm the Staff to Student ratio against any mention in the Activity Policy.
      3. Mandatory Checklists
        • Green tick - Has all of the checklists been completed?
        • Green comment icon – what comments have been entered against a checklist item?
      4. Risk Categories
        • Are the selected risks adequate?
        • Green tick - Has all of the checklists been completed?
        • Green comment icon – what comments have been entered against a checklist item?
      5. Additional Information
        • Review any files that have been uploaded.
