Filters

Filters can be used on each reporting screen to refine the results.

  • Click the Filter button on any reporting screen
  • By default, filters are built using “AND” to layer search requirements. Multiple filters can be added using the data columns available on each report page (e.g. User status, Type, Email, Title etc.)

  • Click + to add a filter
  • Use the dropdown fields to set filters
  • To build an “OR” filter, use the nested filter option (click the Add Group button in the filter). For example:

    • Show staff who belong to Teaching: Science OR Teaching: HPE groups

    • Nested filters can include further nested filters

There are four types of filter options:

Field equals Options

Options are in a dropdown list.  Choose one.

Status equals Active

 

There are specific either/or choices for the field.

The user’s status can only be Active or Inactive

Field in Options

Options are tick boxes. Choose one or more

Roles in Administrator

OR

Roles in Administrator, Manager

 

There are multiple choices for the field.

The user can have multiple roles. You can filter to show users who have one role (e.g. show me all Administrators)

OR

users who have at least one of multiple roles (e.g. show me all Administrators and all Managers)

All accounts where the email contains ‘School.com.au

Manager IDs exist

-          Exists

All accounts that have an assigned manager

 

Manager IDs not exist

-          Not Exists

All accounts that do not have an assigned manager

Date Options Response

Due date in the next 7 days

End date < 2019-01-01

Date field options are similar to the above, but include ranges such as greater/less than, in the last/next x days

The due date occurs in the next 7 days.

The end date (i.e. completed date) occurred before 1 Jan 2019.

The system database includes the exact time of activities. The date can be typed in “yyyy-mm-dd” and the system will automatically include midnight.

Config

The Config button allows you to:

  • choose different formats to display your information
  • show or hide fields (report columns)
  • set how many records to show on each screen.

Visit each screen to see the different field options. The default display for each reporting screen is Table. Other display options include:

  • Calendar

  • Histogram

  • Pie chart

  • Bar chart

  • Pivot table

Sorting

Click the required heading title and choose ascending or descending to change the sort order of the table.

Only one sorting column may be used at a time. By selecting sorting in another column it will sort only on the most recently selected column.

Columns may also be hidden to reduce the amount of columns in the reporting table by using Hide Column. To restore a hidden column, click Config and select the column.
