PolicyConnect Document Management Options

PolicyConnect provides the following options for schools to link to existing school-specific files and documentation:

  • Quick Links

  • URL links embedded in Context Keys – from your existing document management system

  • User Generated Content – build out your own module.

Uploading Documents to a Quick Link

When adding or editing a Quick Link, you will have the option of directly uploading a file.

To upload a file to a Quick Link

  1. Add a new Quick Link or Edit an existing one. To learn how to add or edit a Quick Link, please see our Quick Links guide on the self-help portal.

  2. Select the Browse option beneath the Link Address option.

  3. Click on the Browse button and select the document you would like to upload.

     

  4. Click on the SAVE button to upload your document and save your Quick Link.

Assurance Document Management

If you need a solution for storing a library of documents online, CompliSpace recommends the Document Management function available in CompliSpace Assurance.

To upload a document to Assurance:

  1. Log in to your Assurance site.

  2. Under the Resources drop-down in the top menu bar, select the Documents option.

     

  3. From the document library, click on the Upload Documents button.

  4. Drag and drop your file in the pop-up window that appears, or click on the Add Files button and select your file.

  5. Select the relevant Document Category. This should match the PolicyConnect Module that relates to the document (e.g. Registration, Child Protection, Student Duty of Care).

  6. Click on the Start Upload button to upload your file.

     

  7. Click on the Key link for your new file to navigate to it’s Details page.

     

  8. Click on the Edit button.

     

  9. Check the Publicly Downloadable box and then click the blue Update button to save your changes.

     

  10. After updating, you will be redirected back to the documents Details page. Copy the link in the Generic Link field.

CompliSpace Shared Box Folder

If you don’t have CompliSpace Assurance, you can utilise your CompliSpace shared folder within Box to add files and then link to them from PolicyConnect.

To upload a file to Box:

  1. Open your CompliSpace shared Box folder in your web browser.

  2. Navigate to the location you would like to place your file.

  3. Click on the Upload button in the top right corner of the page and select the File option.

     

  4. Select your file and upload it.

  5. Once your file has uploaded, click on it’s Create and Copy Shared Link button.

     

  6. Ensure the link settings are set to People with the link can view and download.

     

  7. Copy the link to your document.

Linking to your File

Once you have uploaded your document to Assurance or Box, you may insert a link to it within a Context Key.

  1. Ensure you have copied the link to your document.

  2. Locate the Context Key you wish to add your file link to. To learn how to locate and edit Context Keys, please see our Managing your PolicyConnect Context Keys guides.

  3. Edit the Context Key.

  4. Enter the text you would like your link to display.

  5. Highlight your text and then click on the Add Link button.

     

  6. Enter your link in the text field that appears.

     

  7. Hit the return key on your keyboard.

  8. Click on the SAVE button in the bottom right corner of the pop-up window.

User Generated Content

As an alternative to uploading or linking directly to a document, PolicyConnect Administrators have the option of building out their document as a custom module or page.
