PCG Approver Checklist

There are 2 Approval stages in PlanCheckGo

  • Pre-Approval; and
  • Post-Planning / Final Approval

Pre-Approval

  • In PlanCheckGo as a nominated Approver for excursion, the Approver will receive an email notification when an excursion has been submitted for pre-approval.
  • This email contains a link to the PCG proposal that then can be clicked to take the Approver directly to the excursion to be reviewed. (Or they can access the list of proposals by going into the Home – the excursion listing page and clicking Proposals).
  • Once in the proposal the Approver can review:
    1. Excursion Name
    2. Excursion Type
    3. School, Year
    4. Subject
    5. Location
    6. Departure Date and Return Date – Check for any clashes
    7. Education Purpose – Is the stated education purpose sound and relevant?
    8. Risk Categories
      • Venue
      • Transport
      • Accommodation
      • Food
      • Activity
    9. Staff to Student Ratios – Is this acceptable for the activity?
  • If all of the above is acceptable, the Approver can click
    1. Pre-approve – this will allow the user to proceed with the excursion
    2. Pending – use this action if there are questions or more work to do. A dialog will pop-up where the Approver can send notes back to the teacher on what work is required.
    3. Decline – If the excursion is out of the question.
  • Once Pre-approved, the teacher will be notified via email and the teacher can proceed on further excursion planning and the Risk Assessment.

Post-Planning / Final Approval

  • After the Teacher has completed planning and the Risk Assessment, they will submit the excursion for final approval.
  • Once again, the Approver will be notified.
  • The Approver can follow the link back into the excursion and see the Excursion Detail view that will show the additional details.
  • Things to check
    • Excursion Details – Work through the menu items here. They should be ticked off as the teacher either adds information or that no more information is required.
    • Risk Management – The approver can either export the Risk Assessment to PDF or access the risk assessment for review. (Please see the SafeTripBuilder Approvers Guide).
  • If all of the above is acceptable, the Approver can click
    • Approve – this will allow the user to proceed to the Pre-Departure checklist
    • Pending – use this action if there are questions or more work to do. A dialog will pop-up where the Approver can send notes back to the teacher on what work is required.
    • Decline – If the excursion is out of the question.
