Access Roles can be set up in all of provide the Users the ability to do certain actions and see certain data within Assurance.

Access Roles are split into the following areas :

  • Super User
  • Administration Roles including full Administration rights, Share Reports and Bulk Actions
  • Folios
  • Actions
  • Action Assignments
  • Action Results
  • Checklists
  • Checklist Assignments
  • Checklist Results
  • Entities and Contacts
  • Documents
  • Snapshots

Access Roles for Administrators

Access roles for administrators include:
  • - Full Access including bulk action and report sharing
  • Administration Roles
    • Admin rights - Ability to change administrator settings.
    • Admin with retire rights - Same rights as Admin rights but can also retire or delete administrator settings.
    • Bulk

    • Actions - Ability to make changes in bulk.
    • Share
reports
    • Reports - Ability to share reports with other users

There is also Super User rights, which give full access including bulk action and report sharing.

Access Roles for Actions, Checklists and Documents

Select the Rights that should be associated with it –
    • .
  • Business Unit Manager - Ability to manage users, roles, templates and launchpads for their business unit(s).
  • Tasks, Checklists and Documents - Ability to Read, Update, Create and Retire
You
  • (Delete for Documents).
    • These can further narrow down the
role to Category – select the Category to which the role applies.
  • Click on Save to save the new role

  • Access Roles for Action Assignments, Checklist Assignments

    Select the Rights that should be associated with it –
      • access by Categories that apply to that role.
    • Task Assignments and Checklist Assignments - Ability to Read, Update, Create and Retire
    Please note in
    • .
      • NOTE:  In order for the users access to assignments to take effect they will need at least read access to the
    action
      • task or checklist
    itself as well.
  • If a user has access to an action assignment, but not at least read access to the action itself then they will not be able to view any assignments of that action.
  • Click on Save to save the new role

  • Access Roles for Action and Checklist Results

     Select the Rights that should be associated with it –
      • .
    • Task Results and Checklist Results - Ability to Read, Complete and Update Completed Results
  • Click on Save to save the new role

  • It is important to understand that all
    • .
      • All users will be able to complete an action or checklist that is assigned to them.

     
      • These rights refer to the ability to Read

    the Results of other users

      • Typically it is used where you want users to be able to view,

      • complete or update results only in their business unit, or in their business unit plus sub-business units.

    Access Roles for Entities and Contacts

  • Select the Rights that should be associated with it – Read, Update, Create and Retire

  • You
    • Registers & Forms and Super Sensitive Registers & Forms - Ability to Read, Update, Create, Close and Reopen.
      • These can further narrow down the
    role to specific Entity categories – select the Entity Category/s to which the role applies.
  • Click on Save to save the new role

  • Access Roles for Folios

    Select the Rights that should be associated with it –
      • access by Template(s) that apply to that role.
    • Entities and Contacts - Ability to Read, Update, Create and Retire
        You
          • These can further narrow down the
        role to specific Folio templates – select the Folio template/s to which the role applies.
      • Click on Save to save the new role

      • Access Roles for Snapshots

        This role allows the administrator
          • access by Categories that apply to that role.
        • Snapshots - Ability to limit the snapshots that
        the
        • a user can view on their home page

      • Select the Snapshots that the users in the group should be able to view or add

      • Click on Save to save the new role
