A User Profile consists of multiple Access Roles.  The User can then be assigned the Profile and will have all of the Access Roles within the Profile.  When the User Profile is updated, the access rights change will flow through to all the Users in that Profile.

Note:  If a User is given a User Profile for their access, then they cannot be added to any other Access Roles.

Step-By-Step Guide:

From the Administration section, click Users
Select the User that you wish to Edit
Click Leave Management
Choose the Relieving Manager and the period that the User will be on leave
Click Create
At the top of the Details tab, it will show that the User is on leave, who the Relieving Manager is and the period of time this covers.

To amend the Leave Management setup click on Edit, or to remove click Delete.

The Relieving Manager view will change during that period.

There will be an extra tab on their To-Do List, which will provide a view of the To-Do List of the User on leave.

Most of these items can be done through the Relieving Managers login by clicking on the Status and completing the pop-up.  However, some items (Checklist, Checklist Review and Risk Review) will need to be done logged on as the User on leave.

You can log in as the User on leave at any time by clicking on the Airplane Icon in the top-right of the screen.

To return to your profile from the other User, click on your name and select Return to <your name>.

User Profiles are an easy way to group your Users who do the same actions and need the same access.  Then if changes are needed they can be made in one place.  Collating roles into a User Profiles stops the problem of having to work out all the actions one User can do, so that can be replicated for another User. 

For some user profile access roles you will need to select the Business Units they will have access to:

  • For Registers and Forms, this limits which Forms the user can see based on the selected Business Units. If the template does not have business units set up as a field this is not required. 
  • For Task Assignments and Checklist Assignments the Business Units will determine which assignments can be read and/or modified by the User.
  • For Checklist Results and Task Results the Business Units determine which results the User can be read and/or completed by the User.
  • By default the User is given access to their own Business Unit and its sub Business Units.
