A User Profile consists of multiple Access Roles.  The User can then be assigned the Profile and will have all of the Access Roles within the Profile.  When the User Profile is updated, the access rights will flow through to all the Users in that Profile.

Note:  If a User is given a User Profile for their access, then they cannot be added to any other Access Roles.


User Profiles are an easy way to group your Users who do the same actions and need the same access.  Then if changes are needed they can be made in one place.

Collated roles into a User Profile...stops the problem of having to work out all the actions one user can do, so that can be replicated for another user.

For some access roles before you click the + you will need to select the Business Units they will have access to. For Form this For Forms, this limits which Forms the user can see based on the selected business unitsBusiness UnitsIf the template does not have business units set up as a field this is not required. 

  • For Action Task Assignments & and Checklist Assignments the business units Business Units will determine which assignments can be read and/or modified by the userUser.
  • For Checklist Results & Action and Task Results the business units Business Units determine which results the user User can be read and/or completed by the userUser.
  • By default the user User is given access to their own business unit Business Unit and its sub business unitsBusiness Units.

Once you are finished select Add Roles. The Roles tab will now show a list of the roles that make up this User Profile:
